The Learner Report is a PDF version of the activities, interests & destinations information and Future Skills Questionnaire responses that are recorded in the individual learner profile.
You can send learner reports to both individual and multiple learners.
Learners will need to have their email addresses in Compass+ to use this feature. If you're not sure if you have your learner emails in Compass+, please visit the Data Status page and check that you have the 'Student Email Scope' enabled.
Please note - the customisation feature explained in this article is not available to all users yet. As soon as the feature is released to all users, we will share this update with you here > Compass+ Updates and Developments
You can now customise learner reports, allowing you to select and share specific information with learners. You may just want to share a learner’s FSQ responses for example or the activities they have attended for the current academic year.
This Help Centre article will take you through how to send a learner report by email, from the Learner Report page in the main navigation bar and explain how you can customise the report to meet your needs.

Customising and sending the learner report to an individual learner
1. Log in to Compass+ using your email address and password - https://auth.careersandenterprise.co.uk/compassplus
2. From the main navigation bar go to Learner >Learner Report
3. The Learner Report table has 8 columns:
- You can view individual learner profiles
- Filter and sort by Year Group, Form Group and Learner report status
- You can sort by Name and if the learner has an email address recorded in Compass+
- Use the Learner Report column to view icons that show the delivery status of the report:
Icon | Description | Use |
Send icon | Click this to send the learner report | |
Delivery history icon | Click this to see the delivery history of a previously sent report | |
Resend icon | Click this to resend a learner report | |
Resend not available icon | This indicates that the learner report is queued for sending. You will need to wait until this changes before you can send it again. |
4. Find the relevant learner you want to email the report to, either using the search bar at the top right of the screen or enabling the filter and sort functionality in the table headers
5. If the learner has an email address recorded in Compass+, the 'Send' icon will appear in the Learner Report column against their entry
6. Click this icon to launch a pop-up box with the email address of the learner:
- The email address comes from your institution’s Management Information System (MIS)
- If you need to send the report to a different address for that learner, you can enter it here
- You must verify that the email belongs to the learner before doing this.
Enter the learners email address and then click confirm:
7. A pop-up box will display outlining a series of options where you can customise the learner report and select/deselect the information you wish to share with the learner using the checkboxes down the left-hand side:
- If you wish to include Post 16 Destinations notes, Post 18 Destinations notes or Alumni contact information, a message will pop-up asking you to confirm that you approve the sharing of this text directly with the learner

If you make changes to the options you have selected, these can be saved using the ‘Remember these settings’ checkbox. The next time you access the individual learner report, the same settings will be applied unless you edit them.
8. Once you have selected the information you want to include in the learner report, click 'Confirm' to send the report or 'Cancel' to close the pop-up box:
9. Alternatively, once you have selected the learner from the Learner Report table, you can click on the green 'Actions' button at the top right of the table, then 'Send learner reports to selected learners':
Customising and sending the learner report to multiple learners.
1. From the Learner Report table, select the learners that you want to send the report to
2. You can select the topmost tickbox on the left, next to the ‘Actions’ column to select all of the learners in the table. Alternatively, you can individually tick the learners that you want from the list:
3. Once you have selected the learners that you want, click on the 'Actions' button on the top right of the screen and select 'Send learner reports to selected learners'
4. This will open a pop-up box showing the list of recipients
5. Edit what's included in the report by clicking ‘Customise the report’. Here you will be given a range of options that allow you to customise the learner report, selecting the specific information you want to share:
- To customise the report, follow Step 8 above
- Click on 'Confirm to continue' or 'Cancel' to close
- A privacy warning will pop up. Click 'Confirm' to send the reports or 'Cancel' to close.
6. The subject of the email the learner receives with their report is 'Compass + Learner Profile Report for [name of learner]'. The email will have the learner report attached in a password-protected PDF format.
The body of the email contains the following text:
Dear [name of learner]
Please see your attached learner profile report generated from Compass+ for [institution name], by [Name of Compass+ user who generated the email] on [date and time sent].
To open the report you will need to enter your birthday in the format ddmmyyyy - for example if you were born on 8th March 2011 you would enter 08032011.
Please do not reply to this email directly. If you have a question please email the sender: [Compass + user’s email address]
Yours sincerely,
[Name of Compass+ user who generated the email]
Track email delivery after learner reports have been sent
After you have sent your learner reports, the Learner Report status will be updated.
The statuses are:
Status | Description | Actions the user can take |
Not sent | The user has not sent the report to the learner. | The user can send the report. |
Email queued | The user has sent the report to the learner and it is waiting in a queue to be sent to the email delivery service. |
The user can view the delivery history. |
Email Sent | The email delivery service has sent the report to the learner. |
The user can view the delivery history and resend the report if desired. |
Email delivered | The email delivery service has not received a non-delivery notification for the report. |
The user can view the delivery history and resend the report if desired. |
Error sending | The email delivery service has been unable to successfully sent the report. |
The user can view the delivery history and resend the report if desired. |
Request received | We are attempting to send the link to the learner, and waiting for an update on the delivery |
No action is required from the user until the request has been received. |
What to do if the majority of the learner reports are not delivered
In some cases, the email system of an institution will not accept emails sent from Compass+. if this applies to you, you will be shown warning messages on the Learner report screen.
To resolve this, please check with your IT Manager that your system has whitelisted (allowed) the careersandenterprise.co.uk domain to send emails to your learners.
If you are still having issues after checking with your IT Manager, please raise a support request so that we can investigate.
