How is data synced with Compass+ over the summer holidays?
We stop syncing data from your institution’s Management Information System (MIS) at the end of the academic year on July 31st.
In the first week of September, your data sync will resume for the new academic year.
This means that any changes made to your learner data in your MIS during the month of August should be reflected on Compass+ in the first week of September onwards and from this date you will also be able to access all features including the Future Skills Questionnaire and be able to assign specific learners or groups to your activities for the coming year.
Please note that your data is sync’d with Compass+ each evening. So if a change is made to your MIS data during the day, then you will not see this reflected on Compass+ until the following morning.
I have logged into Compass+ in the first week of September and I cannot see up-to-date learner data, what should I do?
If you have logged in and you see the following message displayed: "We have detected that your MIS data has not been updated for the new academic year. Before continuing, please visit this help centre article."
We advise you to:
- Check with your IT or MIS Manager to see if they have updated your Management Information System for the new academic year yet. If they have not, then we cannot pull in up-to-date learner data for the new academic year until this has happened
- Check with your IT or MIS manager to see if there have been any changes to your MIS over the summer that might have impacted your integration with Groupcall XoD. For example, if you have changed MIS over the summer then you may find that it takes us a little longer to sync your learner data, but data should be synced by latest Friday 6th September
- Check on the Groupcall platform to see if your integration is still online, if there are any issues then raise an issue with Groupcall directly by submitting a ticket to Groupcall
- Check whether you have changed URN over the summer. If you have, then please raise a support request with us, and we will transfer your data from your old URN to your new URN so that no information you have previously input to the product is lost. Once this has been completed we will let you know and you will be able to resume using Compass+.
I have logged into Compass+ in the first week of September and I can see duplicated learners, what should I do?
If you have logged into Compass+ in the first week of September and you see duplicated learners, this is due to how your IT or MIS Manager has updated learners on your MIS. They have deleted the learners from the previous academic year and created new learners for the new academic year. Our development team will run a process to de-duplicate these learners on Compass+ so that we can maintain the data you have previously input for a learner in a previous academic year.
Following the academic year change in Compass+ in the first week of September, will I still be able to see all the previous activities, evaluations, destinations and careers partners that I put into Compass+ in previous academic years?
Yes, you will be able to see all of the data you have put into Compass+ so far:
- You will be able to view and edit your activities for the previous academic year if you need to make any updates
- You will be able to view all learner profiles for both past and present learners, and any activities they had planned/completed or cancelled in Compass+ for that year
- You will be able to see any group memberships that a learner has had in previous academic years
- You will be able to view destinations information that you have input for any current learners, and you will also still be able to access this for past learners
- You will be able to view FSQ completions and visualisations
- All Careers Partners that you have entered into Compass+ will still be available to you.
From the first week of September, what should I expect to see in the Compass+ tool?
From the first week of September, we will sync your data for the next academic year and will be able to pull this through to Compass+. You will be able to do the following in Compass+:
- See all your learners and groups (year, form, teaching, characteristics) for the current academic year populated in Compass+, this will reflect what is in your Management Information System (MIS)
- You will be able to assign specific learners and groups of learners to your activities for the current academic year
- Any learners who are now off roll (left or Alumni pupils) will automatically move over to the ‘Left’ section, you will still be able to access their Learner profile and see any activities these learners took part in and download a PDF report if needed:
- Any learners that are still on roll will appear under ‘Learners’ in the ‘Current’ section. You will be able to see all previous activities that they took part in, in the previous academic year. If you go to their learner profile, you will be able to see any groups that they were previously a member of in the system.
Will all my custom groups still exist following the academic year change?
If you have created custom groups for the previous academic year, then we have made it straightforward for you to copy these across to your current year so that you can continue to use these to create more targeted interventions and activities in Compass+.
