We stop syncing your data from your Management Information System (MIS) at the end of the academic year on July 31st and start syncing data for the next academic year from Monday 9th September. There are a number of tasks that you can be doing in Compass+, to help set-up your activities for the next academic year, before any learner data is pulled into Compass+. We have outlined a few suggestions below.
1. Review your activities from the previous academic year in Compass+ and consider improvements.
- What went well with the activities that you ran? (You may have already recorded some of your thoughts in the evaluation notes section of each completed activity)
- Think about how you are going to improve next year’s activities based on your reflections and perhaps how you might do things differently
- Update or add evaluation notes to your completed activities, by navigating to 'Activities' in the main navigation bar, then 'Your Activities', 'view Activities', go to your 'Completed Activities' tab and select the ‘Add evaluation notes' link:
2. Copy your previous academic year's activities over to the next year, to provide a baseline for next years' programme.
To save time, you can copy your Activities for this year, over to next year in Compass+, just go to ‘Activities’ in the main navigation bar, click on 'Your Activities', select the correct Academic Year from the dropdown box, then in the Actions column, click on the icon to 'Copy activities to next year':
By copying your activities over to next year, we will:
- Transfer all activities to next year. Activities can then be deleted if they are not required
- If your activities have the status of Planned/Completed/Cancelled in the current year, these will all appear as planned in the next year

The activity dates will be changed to the first of the month in which they originally occurred.
3. Add and amend activities.
Now you have a draft of your Activities, you can then update or edit your copied activities by:
- Going to ‘Activities’ in the main navigation bar
- Selecting ‘Your Activities’
- Choosing the correct academic year from the dropdown
- In the Actions column click on ‘View Activities’
- Expand an activity by clicking ‘Show more’
- Click ‘View or edit activity’.
Some examples of amending or updating activities include:
- Giving a new date and time to the activity
- Attributing Gatsby Benchmark categories and sub categories to the activity
- Attributing Careers Partners that may support with the delivery of the activity
- Add any prompts or reminders for yourself in the notes field about the activity
You can also add new activities you plan to deliver next year by selecting the green ‘Create a new activity’ button at the top right of the screen.
Once you have saved these activities, they will form the basis of your careers programme that can then be reviewed and updated regularly. Activities will inform and support you to complete your next Compass evaluation.
Learner data and when you will be able to see this reflected for the next academic year.
When you are creating an activity for the next academic year in Compass+, you will not be able to assign learners or groups of learners to the activity until your Management Information System (MIS) data has been pulled through from 9th September of the new academic year.
You will instead see the below message in Compass+:
"Schools connecting their MIS via XoD will be able to add groups or learners to this activity from the 1st September, once your data for the academic year has been synced from your Management Information System (MIS). Find out more."
We ask that you to return to Your Activities from September 9th, once we have pulled through your data for the next academic year, in order to assign learners or groups of learners to an activity.
Once your institutions MIS has been updated, it may be a good idea to schedule some time to add or update any custom groups of learners, as this will save you time in the long run, making it easier to assign groups of learners to specific activities entered into Compass+.
